NDIS Plan Management

NDIS plan management is a service that supports participants in managing the funding in their NDIS plans. The NDIS, or National Disability Insurance Scheme, is an Australian government-funded program that provides disability support and services.

Plan Management: Making Your NDIS Journey Simpler

Participants can request to add plan management to their NDIS plan during the planning process. This funding is provided separately and does not affect funding for other services included in the NDIS plan.

If you’re a participant in the NDIS – or applying to become one – you might want to make life a little less complicated.

That’s where Total Care Disability Service Plan Management comes in. Their dedicated plan management team, supported by skilled NDIS staff, offers expert assistance with financial administration, budgeting, and navigating NDIS policies, helping participants access and coordinate their supports effectively.

Protecting clients’ financial information is a top priority, and robust security measures are in place to safeguard all personal and financial data.

Service Agreement and NDIS Plan Manager

A service agreement is a key part of successful NDIS plan management. This document sets out the terms and conditions between you and your plan manager, making sure everyone is clear on their roles, responsibilities, and expectations. A well-crafted service agreement covers important details like the scope of plan management services, payment terms, how communication will work, and what happens if you want to change plan managers. By having a clear agreement in place, NDIS participants can feel confident that their plan manager is acting in their best interests and that their NDIS funds are being managed responsibly.

Your NDIS Plan Manager is another essential support on your NDIS journey. NDIS planners work closely with participants to understand their goals, needs, and aspirations, and help to explain the different ways to manage your NDIS funding—whether that’s self-managing, being agency managed, or using a registered plan manager. With their guidance, you can make informed decisions about which plan management option best suits your lifestyle and needs.

NDIS Plan Manager also provides valuable advice on managing your NDIS budget, understanding NDIS pricing arrangements, and staying within price limits. They can help you navigate the NDIS portal, track your spending, and ensure your funds are being spent effectively on the supports that matter most to you. This support is especially helpful for NDIS participants who want to make the most of their funding and avoid any surprises mid plan.

When it comes to plan management services, you have options: self-managing your funds, being agency managed, or working with a plan manager. Each approach has its own benefits, so it’s important to consider your preferences, the level of control you want, and how much time you want to spend on administration. With the right service agreement and a supportive NDIS planner, you can take control of your NDIS plan, manage your funding with confidence, and achieve improved life choices and outcomes.

Plan Manager

Every time we receive an invoice from a provider, our client (or their primary contact) receives an email notification to let them know who’s claiming from their plan and how much they’re claiming. As your plan manager, we process invoices and manage payments on your behalf, ensuring your NDIS funds are handled efficiently and transparently.

That means they have peace of mind knowing they can contact us to query any invoices that don’t look quite right. They can switch email notifications by calling us on P:1300 977 007 or M : 0497170758 (NSW time) Monday to Friday.

And, for an added layer of protection, our clients can also elect to block automatic payment of invoices from certain providers or set up automatic approvals for payments greater than $10,000 – they just need to give us a call.

Key Benefits of NDIS Plan Management

NDIS Plan Management can be included in your NDIS plan and is available to all participants. This feature allows you to request plan management at your planning meeting or add it later, making it easier to access the benefits of having a dedicated Plan Manager.

Financial Administration

One of the primary benefits of NDIS Plan Management is the handling of financial administration. The Plan Manager is responsible for processing invoices, claiming payments from the NDIS, and ensuring that providers are paid promptly. This alleviates the burden of paperwork and allows participants to focus on their other needs.

Budget Tracking

Plan Managers help participants monitor their spending and ensure that they remain within their budget. They provide regular updates and reports, making it easier for participants to keep track of their funds and avoid overspending. This is particularly beneficial for those who may find financial management challenging.

Access to a Wider Range of Providers

Participants using Plan Management have the flexibility to choose from both NDIS-registered and non-registered providers. This significantly broadens the range of services and supports available, allowing participants to select providers that best meet their needs and preferences. It also encourages competition among providers, leading to better quality services.

Support and Guidance

Plan Managers offer valuable support and guidance to participants. They assist in understanding the NDIS plan, making informed decisions, and navigating the complexities of the NDIS system. This support is particularly crucial for participants who may be new to the NDIS or find the system overwhelming.

Increased Control and Independence

While Plan Management provides professional support, it still allows participants to retain control over their NDIS plan. They can make choices about their supports and services without the administrative burden. This balance of support and control promotes independence and empowers participants to take charge of their lives.

Time-Saving

Managing an NDIS plan can be time-consuming, especially when dealing with multiple providers and services. By outsourcing the administrative tasks to a Plan Manager, participants save time and can focus on other important aspects of their lives, such as personal goals, hobbies, and relationships.

Expertise and Experience

Plan Managers are experienced professionals who understand the intricacies of the NDIS. They stay updated on the latest changes and policies, ensuring that participants receive accurate information and advice. This expertise helps participants make the most of their NDIS funding and supports.

Local Knowledge & Relationships

Because we work closely with communities in Blacktown, Penrith, Rooty Hill, Quakers Hill, and beyond, we have established strong relationships with local providers. This means faster resolutions, trusted referrals, and a more personalised service.

NDIS Plan Management vs Self-Management vs Agency-Managed Plans

Choosing the right way to manage your NDIS funding is one of the biggest decisions participants make. Here’s how the three main options compare:

  • Plan Management (with Total Care Disability Services):
  • Freedom to use both registered and non-registered providers.
  • No admin burden — we handle invoices, compliance, and disputes.
  • Fast payments (as quick as 5 minutes) and transparency via portal + SMS.
  • Perfect for participants across Blacktown, Penrith, Quakers Hill, and Mount Druitt seeking flexibility with peace of mind.
  • Self-Management (self manage):
  • Maximum choice but also maximum responsibility.
  • This option allows participants to self manage their NDIS funding.
  • You process invoices, pay providers, and keep your own records.
  • Suits confident participants comfortable with admin tasks.
  • Agency-Managed (NDIA):
  • NDIA pays providers directly but only allows NDIS-registered providers.
  • Limits your choice and flexibility.

A support coordinator can also help participants track their budget and supports, especially when using digital tools.

Most families in Western Sydney choose plan management because it balances freedom with professional support — the best of both worlds.

The Importance of Transparency and Budget Protection

One of the most common concerns participants have is: “What if my provider charges me too much?” At Total Care Disability Services, we make sure that never happens.

  • Dispute Resolution Guarantee: Our Service Manager acts immediately to challenge incorrect invoices.
  • Automated Invoice Checks: Every invoice is reviewed for compliance before being paid.
  • Full Client Access: Log in anytime to see your budget in the NDIS portal or our app.
  • Monthly Reports: Clear, easy-to-read reports keep your funding on track.

Example: We recently saved a client from being charged $4,500 in unauthorised fees. Without our checks and dispute process, those funds would have been lost. That’s why transparency matters.

Frequently Asked Questions

How do I find an NDIS plan manager?

To find an NDIS plan manager, you first need plan management funding included in your NDIS plan.

All NDIS participants are eligible for plan management. If your current NDIS plan doesn’t have the funding included and you want to be plan managed, you can call the National Disability Insurance Agency on 1800 800 110 to ask for it to be added.

Plan management doesn’t cost you anything! FREE ! Plan management fees are paid from a specific budget category within your NDIS plan.

It’s a benefit of the NDIS that participants can be supported by a plan manager without having to use the funds set out for their other supports.

There are three options to manage your NDIS funding – plan management, self-management or Agency management. You can choose one option, or a mix of two or three.

If you choose to be plan-managed, you’ll receive support to manage the funding in your NDIS plan. A good plan manager provides the team, tools and technology to help you keep on top of your spending, without the hassle of time-consuming administration!

With self-management, you or your plan nominee is responsible for managing your NDIS funding. That includes claiming from the NDIS, paying invoices, and undertaking administration (e.g., record keeping, completing Agency audits, and ensuring payments are compliant).

When it comes to being agency-managed, the National Disability Insurance Agency will handle payments and administration associated with your plan.

Yes, you can switch anytime without penalty. Under the NDIS, you have the right to choose who manages your plan. If you’re not satisfied with your current provider, we can help you transition smoothly by liaising directly with your existing plan manager and providers to ensure there’s no disruption to your payments. Many participants who move to Total Care Disability Services tell us they feel relieved by our faster invoice processing and transparent communication.

No, you stay in full control at all times. Your NDIS funding belongs to you — not us, not the NDIA. Our role is purely to handle the administrative and financial side, such as processing invoices, tracking budgets, and resolving disputes. You still choose your providers, approve services, and decide where your funding goes. In fact, our clients often say they feel more in control because they get real-time SMS notifications, access to our client portal, and monthly reports that give them a clear picture of their plan’s progress.

Invoices are usually paid within 24 hours — and in many cases, as quickly as 5 minutes. That means your providers get paid promptly, reducing delays and helping you maintain strong relationships with the people delivering your supports. Faster payments also reduce the risk of service interruptions and give families peace of mind knowing their supports won’t be put on hold because of late payments. This speed is one of our biggest points of difference compared to other providers.

With plan management, that’s absolutely allowed. Unlike agency-managed plans that restrict you to only NDIS-registered providers, being plan-managed opens the door to both registered and non-registered providers. This gives you greater flexibility and choice — whether that’s working with a local specialist you trust, hiring a smaller business that isn’t NDIS-registered, or choosing culturally appropriate services for your family. We simply ensure their invoices meet compliance standards and process them quickly, so you get the best of both worlds: freedom of choice with the safety of proper financial management.
